Privacy Policy

1.   DOMAIN NAMES

  • SHCV owns the following domain names:
    • org.au, org, reserved for the Club’s own website and e-mail services; and
    • org.au, org, a single-page switchboard maintained by SHCV Inc. & directing to all Siberian Husky breed clubs in Australia
  • Domain names are registered & maintained independently from website or e-mail services, to ensure that services may easily be switched to an alternative provider should the established vendor become

 

2.   WEB SITE

  • The purpose of the Club’s web site https://www.shcvic.org is to:
    • provide up-to-date information on the Club’s activities & operations
    • publish advice for people researching the breed and/or considering purchase of a Siberian Husky
    • publish results for Club conformation & Social Sledding events & Point Score competitions
    • provide a facility for online interaction with the Club for functions such as membership application & renewal, rescue adoption requests
    • enable management of Club correspondence & membership data
  • Access to the Club web site is freely open to the public in many areas. Where pages are restricted to members, or contain private member information, authorisation is controlled by Member ID and
    • Nonce passwords are automatically generated as new members are registered on the system; this initial password must be changed when a member first logs in.
    • Passwords are stored in encrypted
    • Members with a registered e-mail address may self-reset their password at any time, in the event they have forgotten it. A new password will be sent by e-mail.
  • The Club management area of the web site is to be used only by Committee & Sub-committee members for the express purpose of carrying out their respective functions within the
  • Advertising on the Club website:
    • Sponsor logos may be displayed on the home page and the appropriate activity page (eg Conformation, Social Sledding).
    • No other paid advertising will be accepted or displayed on the Club
  • Linkage with other web sites:
    • Club members may insert a link from the Club web site to their own web site, providing that site is related to the member’s kennels, pets, or is related to the Club’s
    • Links will be provided on request to the VCA & ANKC, and other Australian Siberian Husky breed clubs, sled dog sports associations & outfitters.
    • All other requests for linkage to external sites are to be considered on their own merit by the In general linked sites are to be Australian, directly relevant to the breed or a Club activity and not of a private nature. Linkage requests purely for the purpose of increasing ‘hit rates’, ie generating web traffic, will be refused.

  • Intellectual property protection
    • Proprietary information displayed on the Club website may not be duplicated elsewhere without the written permission of the Club.
    • All requests for such must be made in writing to the

 

3.   E-MAIL

  • The Club operates an e-mail facility using e-mail addresses of the form user@siberianhuskyvic.org.au.
  • All e-mail sent to & from the Club must be addressed to & from official Club e-mail addresses, and not through private e-mail of the Official concerned. This is to ensure that a clear distinction is observed between private and Club In particular:
    • E-mail handled through Club addresses is automatically logged into the Correspondence
    • If a Committee or Sub-committee member receives private e-mail which is directly addressed to the Club (or addressed per their role on the Committee or a Sub-committee of the Club), they must forward that e-mail onto the Club’s email address enquiries@shcvic.org
    • Outgoing Club email must be sent by using the Club web site’s e-mail facility: this will ensure it is addressed properly from the Club and is logged into the Correspondence
    • The Club e-mail facility is not to be used for private non-Club correspondence.

 

4.   FACEBOOK

  • The Club operates a messaging/chat forum (group) on Facebook.
  • The purpose of this forum is to:
    • provide up-to-date information on the Club’s activities & operations.
    • provide an online space for likeminded husky owners to share relevant
    • share advice for people researching the breed and/or considering purchase of a Siberian Husky and learn about the Club and breed
  • Membership of the Facebook group is controlled and requires approval from a moderator who is appointed by the Club Committee. Group membership is open to both Club members and non-members to help promote the Club and breed and to educate people. Membership of the group may be withdrawn where the relevant member has not complied with this Policy, or is otherwise in breach of Club Rules & Regulations or the Code of
  • The group is moderated by one or more persons appointed by the Club Committee. All messages posted to the group must be in accordance with the posting rules below. Messages in breach of these rules may be edited or removed as necessary by the group moderators; individuals posting messages in breach will be warned and possibly
  • Posting rules:
    • Posts are to be relevant to the purpose of the forum as described in Clause 4(2).
    • All posts are to be in good nature/well meaning, good sportsmanship, no slandering of individuals or kennels, their dogs, groups of people, and no offensive
    • All people making posts are bound by the Club’s Code of Ethics whether they are a Member of the Club or otherwise.
    • No advertising is permitted by businesses or groups. Only individuals are to be
    • No advertising of dogs, puppies, stud dogs or products available for purchase. Litter announcements made by Club Members are acceptable where the litter is registered and in accordance with the Club’s Dog Listings
    • Rescue and re-homing requests are to be directed through our Rescue & Rehoming service on the Club web site (refer Clause 2 above), not posted on Facebook.
    • No competitions or photo voting competitons from other sites or pages are to be posted.
    • Photographs and video of minors is not to be posted without permission of the parent/guardian.
    • Club announcements, notices and results are to be posted only by the Club management.
    • All postings to the group by Club management (Office bearers & Committee members) must be in accordance with Social Media policy (see Clause 5 below).
  • A full archive of all posts made to the Facebook group (including those later deleted or modified) will be maintained by the Club.

 

5.   PARTICIPATION OF CLUB MANAGEMENT IN SOCIAL MEDIA FORUMS (Aus Show Sibes, OWDOG, discussion boards etc.)

  • Office Bearers and the Chair of each Sub-committee may formally represent the Club when posting to Social Media forums in order to advertise events, publish results, provide other publicly available information about the Club and its events, and correct factual errors. When formally representing the Club you must:
    • make it clear that you are representing the Club in your posting, and state your real name, Club role and title.
    • only advise, support or comment on topics that fall within your area of responsibility. (For example, only the Show Secretary or their delegate should represent the Club formally with respect to conformation exhibitions. Note that the Secretary may represent the Club in all matters, but not before consulting with the relevant Committee or Sub-committee lead).
    • Where an issue posted in a Social Media forum falls outside your area of responsibility, you may wish to alert the relevant Committee member (or the Secretary for general issues).
    • ensure that the information that you publish is factually
    • disclose only publicly available information – for example, information on the Club’s web site or which has been published (or submitted for publication) in Pawprints. Confidential information such as member details and internal Club correspondence must not be quoted, posted or commented on under any circumstances.

 

  • All members of Committee and all Sub-committees may of course post privately to Social Media forums; when doing so it is important that you:
    • do not imply that you are authorised to speak on the Club’s behalf.
    • do not use your club role or title in your
    • be mindful, when you offer your personal perspective on a matter related to the Club, that your commentary and opinion does not damage the Club’s reputation or bring the Club into
    • if you refer to the Club or provide a linkage to the Club’s website, use a disclaimer to ensure that your stated views and opinions are understood to be your own and not those of the Club. Eg. “the views expressed in this post are mine only and do not necessarily reflect the views of SHCV ”.
    • ensure you are not the first to make a Club
    • disclose only publicly available information – for example, information on the Club’s web site or which has been published and distributed in
    • if you feel that the issue being discussed warrants a response from the Club, you may privately alert the appropriate Committee member regarding the issue. However you must not make any public comment that states or implies that the Club will respond or take any action. Note that the appropriate way for members of the public to formally contact the Club is through either postal mail or e-mail (to enquiries@shcvic.org).
